In vMix, the graphics design and the information inside it can be prepared separately. GT Designer defines the layout; speaker names and session details can then be updated for the show. This guide follows a conference name caption from template to on-air operation.

Build a reusable title in GT Designer
GT Designer combines text, shapes and images into title templates. For a conference caption, give the speaker name and job title separate fields. Keep the logo and background consistent while the names change. Choose the template’s dimensions and text sizes for the actual programme output.
Keep speaker data separate from the design
vMix can link title text to data sources, including spreadsheets. For example, a speaker table can have columns for name, job title and organisation. Check that each field reads from the intended column and that the selected row belongs to the speaker about to appear. A correct layout can still show the wrong person’s details.
Check the title before putting it on air
The operator needs to know which title is ready, when to show it and when to clear it. For a speaker introduction, check the name before the cue, show it when the speaker is identified, then clear it at the agreed point. Decide in rehearsal whether it should remain visible when the programme switches to slides.
Make the template readable in the real output
Check long names, accented characters and two-line job titles in the actual output. Review the caption over both bright and dark camera shots. On a phone, can you still read the name? Does the graphic cover slide text or overlap subtitles? Adjust the template before using it for the full speaker list.
Prepare an operator-friendly show file
Use names such as “Speaker caption” and “Break screen” so the operator can find the right graphic quickly. Keep test titles separate from approved material. When a name changes, preview the corrected title and have the wording checked before showing it to the audience.
Test with the actual event workflow
Run one complete sequence on the production machine: select the speaker, check the caption, show it over the camera, switch to slides and clear it. Then repeat with a replacement name. This tests the handover between the person calling the show and the graphics operator, as well as the template itself.
