Viewers need to know who is speaking, what session they are watching and when the programme will resume. This guide covers what an agency should hand over for live stream graphics: names, logos, layouts and approvals. Preparing these together reduces last-minute corrections at the production desk.

List the graphics your programme needs
Work through the running order: opening, speaker introductions, breaks and closing. Mark where you need a name caption, often called a lower third, or a full-screen message. A break screen should tell viewers when to return; a speaker caption should make the person easy to identify.
Build one approved source for names and titles
Keep names, job titles, organisations and session details in one shared speaker list. Choose one person to approve the wording. A layout that fits “John Smith” may not fit a long surname and a two-line job title, so include the longest entries in the design review.
Prepare the brand assets for production
Supply the approved logo files, colours, fonts and brand guidance. Include any sponsor hierarchy and rules about logo placement. Confirm that the production team can use the supplied fonts and images. Keep the editable source files alongside the approved output, with clear version names.
Agree the presentation and camera layouts
A full-screen presentation, a speaker beside slides and a panel discussion need different compositions. Agree how much space slides need, whether names remain visible and where captions or platform controls could obscure content. Review a sample on a phone as well as on the production monitor.
Coordinate the graphic cues with the wider crew
Name the person who tells the graphics operator when to show or clear a title. If a replacement speaker walks on stage, who confirms their name? If a session runs late, who supplies the new return time? Put these decisions in the running order so the operator has a clear source of information.

Rehearse the changes, not only the opening
Rehearse a replacement speaker, a delayed session and a corrected title. Agree where late changes are sent and who approves them. Keep a holding screen ready while information is being checked, and make sure the operator can clear an incorrect graphic immediately.
